Travel planning policies and service information

This section outlines ColvaRay Travel’s planning services, consultation fees, cancellations, third-party travel suppliers, traveler responsibilities, and privacy practices. ColvaRay Travel is the customer-facing travel brand of ColvaRay Group LLC.

Policy 01

Planning & Consultation Fee

The $50 Travel Planning & Consultation fee covers professional travel-planning and consultation services provided by ColvaRay Travel. Depending on the client’s needs, these services may include an initial planning consultation, destination research, recommendations, preliminary itinerary guidance, and discussion of potential accommodations, transportation, cruises, tours, or other travel options.

The $50 fee is a professional service fee only. It does not purchase airfare, accommodations, cruises, resorts, tours, transportation, travel insurance, taxes, supplier fees, or other third-party travel products.

Any additional planning services or fees beyond the initial consultation will be disclosed to the client before those services are purchased.

Policy 02

Cancellations & Refunds

The $50 Travel Planning & Consultation fee may be canceled for a full refund if cancellation is requested before ColvaRay Travel begins the scheduled consultation or personalized planning work.

Once the consultation has occurred or personalized research, recommendations, itinerary development, or other planning work has begun, the planning fee is nonrefundable because professional services have already been performed or initiated.

Cancellation, modification, credit, and refund rules for airfare, hotels, cruises, resorts, tours, transportation, insurance, and other travel products are established by the applicable third-party supplier. Those supplier terms may differ from ColvaRay Travel's planning-fee policy.

Policy 03

Third-Party Travel Suppliers

Travel products and services may be provided by independent third parties, including airlines, hotels, resorts, cruise lines, tour operators, transportation companies, travel-insurance providers, and other suppliers.

Third-party suppliers establish and control their own availability, pricing, taxes, fees, schedules, cancellation rules, refund policies, and other terms.

Prices and availability may change until a reservation is confirmed according to the applicable supplier's requirements. ColvaRay Travel does not guarantee supplier pricing or availability before confirmation.

Policy 04

Traveler Information & Documentation Responsibility

Travelers are responsible for providing accurate legal names, dates of birth, contact information, and other information required for travel planning or reservations.

Travelers are responsible for reviewing confirmations and promptly reporting errors.

Each traveler is responsible for verifying and obtaining the passports, visas, identification, health documentation, entry permissions, and other documents required for their itinerary and destination.

Entry and documentation requirements can change. Travelers should verify current requirements with the appropriate government authorities before departure.

Privacy & Contact Policy

ColvaRay Travel, the customer-facing travel brand of ColvaRay Group LLC, collects information that clients voluntarily provide through website forms, email, telephone communications, consultations, and other business communications.

This information may include a client’s name, email address, telephone number, number of travelers, destination interests, anticipated travel dates, travel preferences, budget information, and other information provided for travel-planning purposes.

Information is used to respond to inquiries, provide planning and consultation services, communicate with clients, prepare travel recommendations, coordinate requested services, maintain appropriate business records, and support related customer service.

When necessary to provide requested travel services, relevant information may be shared with service providers or travel suppliers involved in fulfilling the client’s request. ColvaRay Travel does not sell clients’ personal information for unrelated marketing purposes.

Reasonable measures are used to protect information submitted to the business. However, no website, email system, or electronic transmission method can be guaranteed to be completely secure.

Clients should not submit credit-card numbers, passport numbers, Social Security numbers, or other highly sensitive information through the general website contact form unless specifically instructed to use an appropriate secure method.
